Overview

Wave2Text is a single-file audio and video transcription service. This policy explains what we collect, how we use it, and what happens to your uploaded media.

Information We Collect

We may collect:

• your basic account information from Google sign-in
• payment records related to credit purchases
• uploaded audio or video files submitted for transcription
• generated transcript text and job metadata
• analytics, device, and browser information used to improve the service

How We Use Your Information

We use this information to:

• authenticate your account
• process payments and credit balances
• store and retrieve uploaded files needed for transcription
• send files to the transcription provider so the job can run
• return transcript results inside your workspace
• monitor reliability, abuse, and product performance

Uploaded Media and Transcript Data

Uploaded files are stored in object storage so the transcription pipeline can access them. Transcript text and job metadata are stored in the application database so you can review completed jobs later.

If you upload a file, you confirm that you have the right to process that content.

Third-Party Services

Wave2Text relies on third-party services to operate, including:

• Google for sign-in
• payment processors such as Stripe or other enabled providers
• object storage such as Cloudflare R2
• transcription providers such as Replicate

Wave2Text does not use uploaded files, transcripts, or Show Notes to train AI models. We send source files and transcript context to the enabled AI provider only to run the transcription or Show Notes job you request.

Our current AI jobs run through Replicate's API. Replicate documents that API prediction inputs, outputs, files, and logs are automatically removed after one hour by default. Replicate and any underlying model remain governed by their own terms and privacy practices.

Retention

Original uploaded audio and video files are stored under a dedicated object-storage prefix and automatically deleted after 7 days by a Cloudflare R2 lifecycle rule. You can delete the original file immediately from the Transcriptions workspace after processing has stopped.

Transcripts, structured timestamps, and Show Notes remain available until you delete the transcription. Deleting a transcription permanently removes those stored results, any associated Show Notes, and the original file if it has not already expired. Account, payment, and credit records may be retained as needed for security, accounting, dispute handling, and legal compliance.

Security

We use reasonable technical safeguards to protect stored data. No internet service is perfectly secure, so we cannot guarantee absolute security.

Analytics

We may use analytics tools to understand traffic, usage patterns, and product issues. These tools help us improve the service, not profile users beyond operating needs.

Your Choices

You may delete a complete transcription from the Transcriptions workspace at any time, or delete only the original upload after processing stops. If you need account-related help, contact the support email listed on the website.

Changes

We may update this policy from time to time. Material changes will be reflected by updating the date on this page.
